As a staff member at Rutgers, you have a number of different options for accessing email, resources, and data remotely. There have been many new technologies introduced recently that allow you to work effectively outside your office. Please review the documentation below and consider some options you may not have considered previously:

What equipment do I need to work remotely?

  • Computer:
    • A laptop or desktop computer is recommended but a tablet can work in some cases.    
  • Internet Connectivity:
    • Preferably a high-speed connection such as Comcast, FIOS, or Optimum.  You may also use a wireless hotspot through your mobile provider.  
  • Telephone:
    • Mobile or land line phone that will allow you to communicate. University phones can be forwarded to these devices.

Meetings can be attended remotely by calling in on the phone, but the following equipment will make it a better experience by allowing for video and better sound.

  • Microphone:
    • This may be built into your device, but an external microphone or headset will provide better sound.
  • Webcam:
    • Many computers have one built in, but you can easily connect an external USB camera.

How do I access my Rutgers email?

Since the University is using Office 365 for email, it is accessible anywhere you have internet access.

Easiest way to access email is through the website https://connect.rutgers.edu/ .
Your login may depend on where you work. For most of our supported users, the username is <netid>@echo.rutgers.edu. The password will be your NETID password.

If you have Outlook on your laptop or desktop at home and would like to use the full program, follow the instructions in the link to configure Outlook.

How do I access my desktop in my office?

If at all possible, please try to limit your access to VPN, as these will be heavily taxed in the coming weeks.  If you are using any type of video conferencing service or video streaming, please disconnect from the VPN before doing so.  This is to ensure that all users will be able to access for everyone.

Option 1 (Preferred) - Rutgers-wide Cisco VPN

The VPN service requires you to configure NETID+ in order to access. Please see the following documentation on to configure NETID+

I need to access files stored on my computer or department shared drive, how do I do this?

If you have a certain set of files that you intend on working on remotely, have you tried using OneDrive or Box Storage to house those files?

If you copy files to OneDrive or Box before working remotely, they will be accessible to you anywhere that you have Internet Connection, without the need for VPN.

How do I handle my phone while out of the office?

Most University phone systems permit users to forward calls to outside lines.  If a user would like to receive their office calls at home, this can be turned on. 

Users who have a Cisco VoIP phone:

Users of Cisco VoIP phones are able to set this up on their handsets remotely through a self-service portal:

  1. Login with your netid username and password.
  2. Once logged in, head over to Call Forwarding.
  3. Then enter the phone number you wish to forward to in the following format: 81XXXXXXXXXX.
    • For example, if your phone number is (555) 555-5555, then it should be entered as 815555555555.

Please note that the portal is only accessible inside Rutgers networks.

  • If you are accessing it from outside, you must use a VPN.
  • Please see the section above entitled, "How do I access my desktop in my office?".

 

Users who don't have a Cisco VoIP phone or don't know what kind of phone they have:

Call forwarding can be set up on the headsets themselves, or have it set up for them. Refer to Call Forwarding instructions on the telecom site.

 

An alternative to forwarding all calls is allowing calls to go to voicemail and either retrieving them regularly or requesting that OIT configure your line to send voicemails to email. The voicemail to email option only works on some systems, refer to instructions on the telecom site to request this service.  

Unfortunately, there is no solution that would allow users to use their home or mobile phone to place outgoing calls using their Rutgers phone number.

  • Users who do not want their personal number displayed to others can mask their home or mobile number by dialing *67 before placing an outgoing call.
  • However, keep in mind that people are less likely to answer calls without CallerID information as your call will show up to them as “unknown caller”. 

What are the University Services that are accessible without using a VPN?

Many improvements have been made to University services where a VPN is not needed to gain access. Please see the list below of commonly used websites and services:

How do I access Cornerstone related websites?

Cornerstone related websites are cloud based and do not need a VPN to access. Simply go to https://my.rutgers.edu like you normally would and you will be able to access all your Cornerstone tabs.

Can I buy equipment and have it delivered to a non-Rutgers address?

In light of the current conditions, you may need to order equipment to meet your work from home requirements and have it delivered directly to your home address.
